Title: Creative Marketing Assistant
Status: Full time
Hours: 40/week, Monday to Friday, 9 a.m. to 6 p.m.
Location: Brooklyn, New York
Reports to: Creative & Experiential Marketing Director

Job Summary: Secretly Group is looking to grow its burgeoning creative and experiential marketing department by adding a Creative Marketing Assistant to work alongside Secretly’s Senior Director, Creative & Strategy and Creative and Experiential Marketing Director .

The ideal candidate is highly organized and innovative with the ability to manage multiple projects and responsibilities at once. The candidate must excel in time management, multitasking and communication, as he will not only work with the creative team, but also with other departments.

The order of operations for this department fluctuates daily, so responsibilities will change depending on ongoing projects. The candidate must excel at pivoting from one project to another according to urgency and help solve problems according to available resources and time.

Responsibilities include:
  • Day-to-day coordination for the department, including scheduling meetings, taking minutes, and supporting senior management on a wide range of projects
  • Create and maintain project management software, schedule invitations, spreadsheets, itineraries, announcement deployments and other documents
  • Create and maintain presentations and planning partnership presentations, newsletters and guest lists
  • Managing event RSVPs and organizing guest lists
  • Assistance in the production of marketing materials and writing texts
  • Prepare and request deliverables for Secretly’s marketing team and external partners
  • Production, coordination and on-site content capture duties for IRL events and filmed productions
  • Location scouting
  • Maintain an archive of events and summaries
  • Collecting and organizing expenses related to the event
  • Maintain a rolodex of creatives, producers, videographers and web developers to assist with content creation
  • Create and curate visual assets and content with the Secretly Group art department
  • Very organized and attentive to detail
  • Familiarity with event planning and/or on-set production
  • Proficiency in Microsoft Outlook, Excel, Google Docs/Sheets/Slides and Keynote
  • Knowledge of Adobe Creative Suite products and website building services (Squarespace, Cargo)
  • Outgoing and energetic with an interest in connecting within the Secretly team, roster, and community
  • Enthusiasm for independent music and businesses, live music and local communities
  • 1-2 years of experience in the music industry
