Factory administration assistant

We are currently dealing with a major engineering contractor who is looking to expand the Birmingham team by recruiting a Plant Administrative Assistant to work on the Wednesbury to Brierly Hill Underground Extension based in Birmingham, working within Midland Metro Alliance. This role will require you to assist the Factory Resource Coordinator with placing orders, resolving rental requests and tracking live kit throughout the project.

As a Plant Administrative Assistant, your responsibilities include, but are not limited to:

  • To load orders into the Coupa system when required by the site, ensuring that the information requested is true and accurate
  • Proactively track the location of the rented kit in different sections of the Wednesbury to Brierly Hill project
  • Ensure all rental and non-rental tickets are used to update live plant tracking
  • Communicate regularly with site teams regarding leased equipment and tracker log exchanges, keeping fleet numbers up to date
  • All discrepancies should be investigated immediately. Notify the Factory Resource Coordinator if a Factory listed on the Hire Sheet is not found or is found to be unhired
  • Handle all questions from the factory and forward them to the relevant managers for signature
  • Report all damages and losses to the Plant Resource Coordinator and Supplier
  • Use live vendor hire reports to cross-reference with project tracking to ensure accuracy and highlight discrepancies
  • Ensure compliance with all documents, including procedures
  • Be proactive in developing systems to meet the changing needs of the plant rental team
  • Undertake other reasonable duties as required, as required, directed by the Procurement Manager
  • As you would expect, the organization may change from time to time and you will need to meet operational requirements
  • Any other reasonable duties required from time to time

Job requirements:

  • Knowledge of tools/factory
  • Experience working on a factory order/rental desk
  • Finely tuned communication skills with regards to engagement with external and internal parties
  • Ability to demonstrate attention to detail regarding contractual obligations and order placement
  • Good knowledge of Microsoft Excel
