Job overview:

We are looking for a full-time Executive Personal Assistant who is incredibly energetic, versatile and reliable to work closely with one of our clients in a variety of capacities, including business and personal affairs, and operations. The right candidate will be based in Los Angeles, California, or surrounding areas, is highly organized, detail-oriented, proactive, and able to quickly rotate between tasks while keeping the client on track for meetings, travel, and projects.

Main tasks and responsibilities:
  • Work closely with the client to provide top-notch executive and personal assistance and the best possible support
  • Helping with day-to-day business as well as personal chores and personal errands
  • Manage calendar and emails in customer inbox
  • Maintain contact databases, confidential files and systems
  • Book travel arrangements and manage all travel plans and logistics, including domestic and international travel.
  • Organize and coordinate meetings and events
  • Interface with all levels of the organization and with customers in a professional and efficient manner that reflects the customer.
  • Process all incoming mail and deliveries
  • Oversee office operations and general maintenance, including management of office equipment and supplies as well as food supply and kitchen upkeep and inventory control
  • Ensure all projects are on schedule
  • Plan and organize corporate and customer events and seminars offsite
  • Assist in communications with customers, presentations, mailings, including gifts
  • Liaise with high level clientele and assist with excellent customer service
  • Liaise with all levels of the organization to ensure priorities are met maintaining professionalism and strict confidentiality of all documents while exercising discretion and confidentiality.
  • Establish and maintain effective working relationships with clients, team members and suppliers
  • Being able to perform all tasks requested or if not possible then the ability to help find someone who can do the job at the highest level.

Key Qualifications:
  • Autonomous with the ability to multi-task
  • Exceptional work ethic, initiative and motivation.
  • Exceptional time management and problem solving skills with the ability to effectively prioritize work while balancing multiple demands, tasks, projects, meeting deadlines and demands in a fast-paced environment and schedules.
  • Excellent customer service skills
  • Strategic thinker consistently demonstrating clear and concise written, verbal and interpersonal skills.
  • Ability to interact with all levels of the organization
  • Ability to travel domestically and internationally
  • Punctual & reliable; flexible and adaptable
  • Friendly and outgoing personality
  • Great attention to detail and are very organized. We are looking for someone who is extremely proud to have everything completely buttoned up.
  • Must be able to work independently and in a team
  • Empathy and great active listening skills
  • Experience in entertainment/with VIP/celebrity talent is a plus
  • Proficiency in the Microsoft Office suite
  • Knowledge of social media platforms, primarily Instagram and TikTok
