Purpose of the position:

CookeMcDermid is one of Canada’s leading literary agencies, with offices in downtown Toronto, representing many successful and internationally renowned writers and media personalities. We are looking for a bright, detail-oriented, positive, hard-working and level-headed Contracts and Operations Assistant to join our dynamic team. The ideal candidate will be one whose interests lie in learning about the intersection of contracts, finance and business operations, and it should be noted that this position will not involve reading manuscripts or editorial work.

Responsibilities include, but are not limited to:


  • Create and maintain records on a variety of contracts in agency systems, including entering, updating and tracking all key details and dates in Salesforce
  • Work collaboratively with Agents and Contract Administrator to update customer business issues with particular emphasis on active negotiations
  • Act as a communication center between CMD and publishers, producers, customers, suppliers, contractors and companies
  • Process permission requests, including negotiating fees, obtaining author approvals, drafting and executing documents

Finances / Payments

  • Use the agency database to track and, where applicable, invoice and collect payments
  • Communicate payment status to internal and external parties
  • Maintain accuracy of customer accounts in conjunction with the Operations Administrator, Operations Assistant, Contracts Administrator and individual agents
  • Create tax exemption letters for finance and contracts departments and assist authors with their own requests

  • Proficiency in Excel, Outlook, Microsoft Suite
  • Strong organizational and communication skills
  • Tact, patience and diplomacy in meeting the expectations of clients, industry and agency colleagues, and suppliers
  • Ability to pay close attention to detail, while seeing the big picture
  • Ability to remain flexible in the face of changing requirements and priorities
  • Ability to work independently, with some supervision


  • Fluency in English (oral and written)

Working environment

  • This position is hybrid (remote/in-person). Applicants must have the ability and technical ability to work from home and be within commuting distance of Toronto offices upon reopening
  • Reliable internet access and private office space to work
  • Working hours are Monday to Friday, 9:00 a.m. to 5:00 p.m.
