Administrative Assistant | Pastoral – Chaplain’s Office

We are looking for a part-time Administrative Assistant with exceptional written, verbal and interpersonal communication skills to provide efficient and effective administrative and clerical support to our pastoral team. The suitable candidate will be enthusiastic with exceptional organizational, time management and problem solving skills.

Responsibilities

  • Prepare the Sunday bulletin and other service booklets
  • Prepare for Sunday Services, Celebration of Life Services, and other special services assigned by the Chaplain
  • Keep calendar up to date with chapel schedule to include organist practice, choir, concerts and functions.
  • Prepare and plan the monthly schedule for lay servers in the chapel
  • Change the vestments of the altar and the choir according to the services to be celebrated; oversee the guild of volunteer altars
  • Assist and assist during celebration of life services, assist family members while serving as a liaison between family members and culinary services
  • Draft and issue communications from the Chaplain’s office, such as notices to residents or BG calendar events
  • Maintain an up-to-date list of deceased residents, Bishop Gadsden, while maintaining the “In Memory of Love” flower handling process.
  • Perform administrative duties, such as recording chapel services and reports, requesting accounts payable, controlling supplies, and placing orders for supplies when needed.
  • Perform and assist in the coordination of necessary duties in the absence of the Chaplain.
  • Provide administrative support to the Employee Assistance Fund, including processing applications, maintaining records and monitoring employee compliance.
  • Participate in compliance meetings providing the Chapel’s annual statistics.
  • Make sure the event set up for chaplaincy events includes food and drink.
  • Assist with Columbarium assignments, engraving and applications.
  • Create pamphlets and flyers on various programs as needed.
  • Assist in the implementation of various assigned projects.
  • Assist other department staff on various projects or activities.
  • Maintain confidentiality of all matters discussed during the function of this position.
  • Answer the phone and establish phone contacts as requested.
  • Maintain good interdepartmental and employee relations.
  • Adopt a pleasant, respectful and courteous attitude.
  • Accept additional tasks as needed in a cooperative manner.
