Insight:
First Presbyterian Church is seeking a highly organized and detail-oriented Administrative Assistant to ensure the smooth operation and efficiency of our outreach and health care services. congregation. This role relieves the management of administrative details; gathers, compiles and reports relevant information for/for the associate pastor and/or director. This is a great opportunity to assist our Associate Pastor of Congregational Care and Outreach Director with various projects and provide general administrative support.

Skills and Qualifications:
• Decision making: the ability to make independent day-to-day decisions, addressing how best to handle specific tasks
• Communications and collaboration: must collaborate with other administrators and support staff, leaders, church members and community partners on a regular basis
• Organizational Skills: Organizing and prioritizing are essential elements of the responsibilities of this position. You need to know how to organize yourself and others and how to determine which tasks are the most important in a given list
• Writing: Spelling, punctuation, sentence structure and handwriting are essential to the function of this role, the person in this position must master a variety of styles, from creative to professional to church and more
• Computer skills: proficiency in Microsoft suite (i.e. Word, Excel, Powerpoint), Google Workspace (i.e. Google Docs, Google Sheets), emailing
• Appreciation of confidentiality: exercising good judgment about the confidentiality of pastoral concerns and information

Responsibilities:
Weekly
• Provide general administrative support to the Associate Pastor of Congregational Care and Outreach Director, including schedule management (in-person, conference calls, zoom meetings, etc.)
• Provide administrative support to the associate pastor for the care of the congregation for weekly pastoral concerns, including overseeing the hospital list, prayer list, duty pastor schedule, and writing/ sending bereavement letters and other regular care correspondence
• Maintain records of relevant ministry sector programs and funeral planning.
• Lead the entry and updating of EMS data; enter configurations into EMS for all Presbyterian Women’s, Congregational Care and Outreach meetings and events/activities
• Assist the Associate Pastor for Congregational Care and Outreach Director with maintaining and reconciling monthly credit card expenses
• May act as liaison with outside partners by coordinating events and schedules of associate pastor and/or outreach director
Periodically
• Act as primary support for funeral logistics in coordination with AP and Funeral Guild volunteers
• Provide administrative support to the Outreach Director in the Local and Global Partnership grant making process (i.e. sending applications, updating contact details, printing and filing of copies, etc.)
• Create final donation letters outlining amount and distribution schedule and work with finance to ensure letters and checks are mailed in a timely manner
• Assist in global and regional travel preparation (iebook flights, communications, secure travel insurance, etc.)
• Help gather worship materials for occasional seasonal worship services (Wholeness and Healing Service, Holy Week)

Physical requirements:
• Include but not limited to frequent handling of files, books, boxes of documents, typing, use of telephone and other office equipment
• Office work with option of one virtual workday per week at manager’s discretion
